Privacy Policy
Effective October 5, 2026
Who this covers
This policy explains how Hub5 handles personal information when you use the Hub5 web app, mobile app, client portal and review pages. Hub5 is used by service businesses (our “Customers”). For the information a Customer stores about its own clients and crew, the Customer decides how it is used and we process it on the Customer's behalf. If you are a Customer's client or employee, please contact that business about your information; we'll help them respond.
What we collect
- Account information — name, email, business name, password (stored only as a salted hash), and role.
- Business records — clients, addresses, phone numbers, jobs, estimates, invoices, notes, photos and timesheets that Customers enter.
- Crew location — when a Customer enables location tracking, the mobile app records a crew member's location at clock-in and periodically while they are clocked in, including when the app is in the background. Nothing is recorded off the clock, and crew are shown a notice before the first time.
- Reviews — ratings and comments that a Customer's clients submit on review pages.
- Device and usage data — IP address, browser or device type, push-notification tokens, and server logs used for security and troubleshooting.
- Payment information — card payments are handled by our payment processor; we don't store full card numbers.
How we use it
- To provide the Service: scheduling, dispatch, invoicing, payments, portals, notifications and reports.
- To send service email and text messages on a Customer's behalf (estimates, invoices, reminders, review requests).
- To secure the Service, prevent abuse, and diagnose errors.
- To communicate with account owners about their account, billing and changes to the Service.
We don't sell personal information, and we don't use Customer data for advertising.
Service providers
We share information only with providers that help us run the Service, under contracts that limit their use of it: cloud hosting and file storage, email delivery, text-message delivery, payment processing, maps, mobile push notifications, and error monitoring. We may also disclose information if the law requires it or to protect the rights and safety of our users.
Email and text preferences
Clients of our Customers can opt out of review requests and automated marketing-style messages using the unsubscribe link in those emails, or by replying STOP to a text message. Transactional messages about an active job, estimate or invoice may still be sent.
Retention and deletion
We keep information while an account is active. Crew location history is deleted automatically after the retention period the Customer sets. When an account owner closes their account, we delete its data from active systems promptly and from backups as they expire (within about 30 days), except records we must keep by law. Individual users can delete their own login from Settings in the web or mobile app.
Security
Data is encrypted in transit, files are stored in a private bucket served only through the app, passwords are hashed, and access is limited to people who need it. No system is perfectly secure; if a breach affects your information, we will notify you as the law requires.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, or to object to certain uses. Account owners can export and delete data from Settings. For any other request, email [email protected]; we'll respond within 30 days.
Children
Hub5 is a business tool and is not directed to children under 16.
Changes
We'll post updates here and change the effective date. For material changes we'll notify account owners by email or in the app.
